Privacy Policy

This Privacy Policy explains how PairaDoc handles information when patients, providers, practice staff, and website visitors use our services.

Effective October 26, 2026

1. Who we are

PairaDoc is operated by PairaDoc Technologies LLC (“PairaDoc,” “we,” “us,” or “our”). PairaDoc provides healthcare-provider discovery, search, comparison, profile, and matching tools.

This Policy applies to PairaDoc websites, mobile applications, provider and practice workspaces, and related services that link to this Policy.

2. Information we collect

Information you provide

  • Account information such as name, email address, password credentials, and account role.
  • Search and discovery preferences such as specialty, insurance, distance, language, services, and other filters you choose.
  • Saved, passed, compared, or recently viewed provider activity associated with a signed-in account.
  • Provider and practice information submitted to claim, create, correct, or manage a listing.
  • Private provider expansion pre-registration requests, including professional NPI, proposed city/state/ZIP, stated telehealth interest and the contact email of the submitting account. These requests are not public profiles or verified claims.
  • Reviews, reports, support requests, and other content you choose to submit.
  • Billing-related identifiers and subscription status. Payment-card information is processed by our payment provider rather than stored by PairaDoc as full card data.

Sign in with Google

If you choose “Continue with Google,” Google confirms your identity and shares your name, email address, profile photo, and a Google account identifier with PairaDoc. The sign-in is brokered by our hosting and authentication provider, which passes those details to us. PairaDoc does not receive your Google password and does not request access to your Gmail, Google Drive, contacts, calendar, or other Google data. We use this information only to create and sign in to your PairaDoc account and to show your name and photo in your account. You can remove PairaDoc’s access at any time in your Google Account under third-party connections; to delete your PairaDoc account itself, see Section 8.

When you create an account, with Google or with email, you confirm that you meet the age requirement in Section 10.

Location information

If you choose “Use my current location,” your device or browser may provide precise or approximate coordinates so PairaDoc can determine your search area and estimate straight-line provider distances. You may instead enter a city or ZIP code, or choose a state without coordinates. ZIP searches use Census ZIP tabulation-area representative coordinates, and actual driving distance may differ. You can control device-level location permissions in your browser or device settings.

Information collected automatically

We may collect technical and usage information such as browser or device type, IP address, session information, pages viewed, feature interactions, error logs, and similar security or operational data. PairaDoc also uses browser storage and session technologies to keep users signed in and preserve guest preferences.

To prevent spam and abuse, we keep short-lived records of sign-in attempts and form submissions (such as contact, waitlist, password-reset, and review requests). These records store your IP address and email address only in scrambled (hashed) form and are deleted automatically within a few days.

3. How we use information

  • Provide provider search, Match, comparison, saved-provider, and account features.
  • Apply the filters and preferences you select to relevant provider information.
  • Operate provider claims, practice workspaces, team permissions, subscriptions, boosts, and billing.
  • Review private provider pre-registration requests and contact the account holder about future coverage or profile verification. Pre-registration does not create a paid subscription or publicly visible listing.
  • Maintain security, prevent misuse, troubleshoot errors, and improve reliability.
  • Respond to support, privacy, provider, and business communications.
  • Send transactional messages such as account, password-reset, practice-invitation, billing, or launch-notification emails.
  • Analyze aggregated or de-identified product usage to improve PairaDoc.
  • Comply with legal obligations and enforce our agreements.

4. How we share information

We may share information in the following circumstances:

  • Service providers. Vendors that help us host, secure, email, process payments, store data, or operate PairaDoc may receive information needed to perform those services.
  • Providers and practices. Provider and practice profile information intended for public discovery may be displayed to PairaDoc users. We do not provide providers with a patient’s private saved, passed, or comparison list merely because that patient viewed the provider.
  • Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or respond to lawful process.
  • Business transactions. Information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of some or all of the business, subject to applicable law.
  • At your direction. We may share information when you ask us to or use a feature that intentionally sends information to a third party.

PairaDoc does not currently sell patient account information for monetary consideration. If our practices materially change, we will update this Policy and provide any notices or choices required by law.

5. Sponsored provider visibility

Providers may purchase clearly labeled sponsored visibility or boosts. Paid visibility does not give a provider access to private patient account information and does not purchase PairaDoc verification. Sponsored placement is labeled and does not replace the patient-selected filters used for organic discovery.

6. Payments

Provider and practice website payments are processed through third-party services such as Stripe. When available, subscriptions purchased within a mobile application may be processed by Apple or Google, with subscription verification supported by RevenueCat. Practice enrollment is website-only. PairaDoc may receive and store transaction identifiers, customer identifiers, subscription status, plan information, payment status, and billing dates needed to operate paid features. Payment processors handle payment-card information under their own privacy terms.

7. Data retention

We retain information for as long as reasonably necessary to provide PairaDoc, maintain security and business records, resolve disputes, enforce agreements, and satisfy legal obligations. Retention periods vary by data type. Guest preferences may remain in browser storage until they expire, are cleared, or the user clears browser data.

Account preferences, saved or passed providers, sessions, and account-authentication records are generally removed when an account deletion is completed. Reviews associated with the account and provider-submitted files are included in deletion review. Provider pre-registration requests linked to the account are removed with the account. A public listing independently derived from professional public records such as NPPES can be retained as a directory record without retaining account ownership or private profile content.

Subscription transactions and billing records held by payment processors may remain subject to their legal, accounting, fraud-prevention, and dispute requirements. Certain minimal internal records may also be retained where required by law or necessary to document a deletion request or resolve a dispute. Publicly cached images may take time to disappear from third-party caches after removal from storage.

8. Your choices and privacy rights

Depending on where you live, you may have rights to request access, correction, deletion, portability, or other treatment of certain personal information. You may also update many account and preference details directly in PairaDoc.

To submit a privacy request, email support@pairadoc.com. We may need to verify your identity before completing a request. Rights and exceptions vary by jurisdiction.

Signed-in users can open Profile → Delete Account to request permanent deletion. Accounts without active payment or Practice-ownership obligations may qualify for immediate deletion. If a subscription remains billable, a Practice has to transfer authority, or additional records need review, you can still submit a deletion request immediately from the app. We will track the request and provide completion steps; submitting the request alone does not cancel a subscription.

If you pay through Apple's App Store, manage or cancel the subscription in Apple's subscription settings. For website subscriptions, use your PairaDoc billing portal. You may contact support@pairadoc.com to request a billing, Practice-owner-transfer, or deletion review. Deletion-request receipt is not confirmation that account deletion has finished.

9. HIPAA and healthcare information

PairaDoc is a healthcare discovery platform and is not itself a healthcare provider, health plan, or medical practice. Information you provide directly to PairaDoc is governed by this Privacy Policy. HIPAA may not apply to information you provide directly to PairaDoc merely because the information relates to healthcare.

When you leave PairaDoc to interact directly with a healthcare provider, practice, insurer, booking service, or other third party, that organization’s own privacy practices and legal obligations apply.

10. Children and account eligibility

PairaDoc accounts are intended for adults who are at least 18 years old or the age of majority where they live. Adults may use PairaDoc to search for providers for children or dependents. PairaDoc is not intended to knowingly collect personal information directly from children through their own accounts.

11. Security

We use administrative, technical, and organizational safeguards designed to protect information. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. Keep your credentials confidential and notify us if you believe your account has been compromised.

PairaDoc administrator accounts must use two-step verification with an authenticator app before they can access administrative tools.

12. Changes to this Policy

We may update this Privacy Policy as PairaDoc changes. We will post the revised effective date and provide additional notice when required by law. Continued use after an update is subject to the revised Policy.
